Meeting and Study Rooms   (Revised June 2000; January 25, 2001; July 24, 2003; September 27, 2007; May 24, 2012; September 22, 2016)

General Room Guidelines

  • All users of Orrville Public Library’s meeting and study rooms are subject to the library’s Behavior Policy.
  • Library activities have first priority.  When rooms are not being used for library activities, the public may use them.  The library reserves the right to cancel or reschedule any meeting.
  • Room set-up is each group’s responsibility.  The room must be left in the condition in which it was found unless other instructions are given.
  • Community groups, tutors, and sponsors of cultural, civic, or educational events are welcome to use the rooms during the library’s regular hours of operation.  The adult making a reservation must agree to assume full responsibility for supervision of those attending and for damages to library facilities and equipment.
  • The library will not admit anyone to the building before opening or after closing time without permission from the Director.
  • No fee will be charged for use of the rooms.  However, a fee may be charged if meeting or study room use results in the need for repair to library furnishings or equipment or if excessive cleaning is required.
  • Misuse or damage of the meeting or study rooms shall result in the loss of privileges.
  • For-profit business ventures are not permitted to use the rooms to conduct business or to use the name, address, or telephone number of the library as a contact address or headquarters of an organization.
  • Commercial organizations may use the rooms if they are conducting training programs or free seminars.
  • All meetings must be open to all members of the public.  The library’s meeting and study rooms are not intended for private parties.
  • Groups using the rooms may not charge an admission fee, require a donation, or sell products, unless the program is sponsored by the library or Friends of the Library.
  • No fundraising programs are permitted except by the library or Friends of the Library.
  • Meetings should end at least fifteen (15) minutes prior to closing time.
  • The library reserves the right to limit the frequency of use of its facilities.
  • The library is not liable for injuries to people, damage to their property, or loss of property belonging to individuals or groups using the meeting rooms.
  • The library does not endorse the views expressed by any group or individual using its rooms.  The use of the rooms by a non-library group shall not be publicized in such a way as to imply library sponsorship of the group activities unless the library or Friends of the Library is co-sponsoring the event.
  • Storage of equipment and/or supplies is not permitted at the library.
  • The Library Board of Trustees reserves the right to amend this policy at any time.

Meeting Room (three available)

Room capacity of meeting room A & B – 80 (12 tables, 80 chairs)

Room capacity of conference room – 12 (4 tables, 12 chairs)

  • A meeting room may be booked no more than six (6) months in advance and can be used by a group no more than two (2) times per month.  Room reservations may be made by phone or in person.
  • Library audio-visual equipment is available with prior reservation and with the understanding that users will be able to independently operate this technology.

Quiet Study Room (three available)

Room capacity:4 – 8 people

  • The library’s study rooms are designed to meet the needs of patrons who want to work individually or in small groups for limited periods of time in a quiet environment.
  • Patrons must be high school age or supervised by an adult to use the study rooms.
  • If study rooms are not reserved, they are available on a first come, first served basis for the general public.
  • Study rooms may be booked no more than one (1) month in advance and can be used no more than twice a day with a four (4) hour limit per day.  Library staff may extend use of a room beyond this limit when no one is waiting.
  • The library reserves the right to limit advance reservations due to the high demand of the study rooms.
